Luminari Privacy Policy

Luminari is the education platform that schools and microschools run on — enrollment, records, transcripts, attendance, and state-ready paperwork, delivered under each school’s own brand. The platform is operated by Luminari Education, LLC (“Luminari,” “we,” “us,” or “our”). This Privacy Policy explains what information we handle when a school uses the Luminari platform, how we use and protect it, and the choices and rights available. It applies to the Luminari web application and any related services (together, the “Service”).

By creating an account or using the Service, you agree to the practices described in this policy. If you do not agree, please do not use the Luminari platform.

1. Who This Policy Covers

The Luminari platform is licensed to schools, microschools, and education operators (each, a “School” or “customer”). A School uses Luminari to operate its own program — managing enrollment, student records, transcripts, attendance, and compliance paperwork — typically under the School’s own brand.

For most of the student and family data processed on the platform, the School is the party that decides what data is collected and how it is used, and Luminari acts as a service provider (data processor) that handles that data on the School’s behalf and under its instructions. Because the platform processes information about students, families, and staff, we take particular care with that data, as described below.

2. Information We Collect

Account and administrator information. When a School sets up an account, we collect the contact details of the administrators and staff who use the platform, such as name, email address, and role. Passwords are stored only in encrypted (hashed) form and are never visible to us.

Student and family records. On the School’s instructions, the platform stores the records and data the School enters or imports, such as student names, enrollment and attendance information, academic records, transcripts, and family or guardian contact details. This information is provided and controlled by the School.

School operating data. We store the configuration, documents, schedules, notes, and other content a School creates or uploads to run its program on the platform, so those items can be used within the account.

Subscription and billing information. Platform plans are billed to the School through our third-party payment provider. We receive limited billing details such as the School’s subscription status and the last four digits and type of the card on file. We do not collect or store full payment card numbers on our own systems.

Technical and usage information. Like most online services, we automatically receive certain information when the platform is used, such as device and browser type, log data, and cookies or similar technologies used to keep users signed in and to operate the Service.

We practice data minimization. We collect only what is necessary to operate the platform and support the School.

3. How We Use Your Information

We process student and family data only to provide the Service to the School and on the School’s instructions. We do not use the personal information in a School’s account for third-party advertising, and we do not sell it.

4. Student Data and Children’s Privacy (FERPA and COPPA)

Protecting student information is a core commitment of the Luminari platform. Because Schools use Luminari to maintain education records, we handle student data with care and in a manner that supports our customers’ obligations under laws such as the Family Educational Rights and Privacy Act (FERPA) and the Children’s Online Privacy Protection Act (COPPA).

Service provider role. Where a School is subject to FERPA, Luminari acts as a “school official” with a legitimate educational interest, processing education records solely to provide the Service and only under the School’s direction. The School remains responsible for obtaining any consents or providing any notices required of it.

Data ownership and control. The student and family data in an account belongs to and is controlled by the School. We do not use student data to build advertising profiles, we do not sell it, and we do not disclose it except as needed to provide the Service or as the School directs.

Children’s information. To the extent the platform processes information about children, we do so as a service provider on behalf of the School, which is responsible for obtaining any parental consent required under COPPA or applicable law. We do not knowingly collect personal information directly from children for our own purposes, and we do not use children’s information to market to them.

Requests about a student’s data. Requests from parents or students to review, correct, or delete a student’s records should be directed to the School that maintains the account. We will support Schools in responding to such requests and will act on a School’s instruction. Schools may also contact us at hello@luminari.school for assistance.

5. How We Share Information

We do not sell personal information, including student or family information.

We share information only in these limited circumstances:

Service providers (sub-processors). We use trusted third-party providers to host the application, store data, authenticate users, and process payments — for example cloud hosting, database, authentication, and payment providers. These providers may process information only to perform services for us and are bound by confidentiality and data-protection obligations.

At the School’s direction. We share or export data as the School instructs, such as when a School exports its records or connects an integration it has chosen to use.

Legal and safety reasons. We may disclose information if required by law, subpoena, or valid legal process, or where we believe in good faith that disclosure is necessary to protect the rights, safety, or property of our users, the public, or Luminari.

Business transfers. If Luminari is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction. We will notify affected customers of any such change and of any choices they may have.

6. Data Security

We use industry-standard safeguards to protect data on the platform, including encryption in transit, access controls, and secure authentication. Passwords are stored in hashed form and payment card details are handled by our payment provider rather than stored on our systems. No method of transmission or storage is completely secure, so while we work hard to protect information we cannot guarantee absolute security.

7. Data Retention and Deletion

We retain a School’s data for as long as the account is active or as needed to provide the Service. A School may delete individual records or its content at any time, and may request export or deletion of its account data. When a School deletes data or closes its account, we will delete or de-identify the associated personal information within a reasonable period, except where we are required to retain certain records to comply with legal, tax, or accounting obligations.

8. Your Rights and Choices

Because Luminari processes most personal data on behalf of the School, requests from students, parents, or staff to access, correct, or delete data should generally be directed to the School that controls the account. Where we are the appropriate party to respond, you have the right to:

California residents (CCPA/CPRA). If you are a California resident, you have the right to know what personal information is collected and how it is used, to request deletion of your personal information, and to not be discriminated against for exercising these rights. We do not sell personal information. Where Luminari processes data on behalf of a School as a service provider, we handle verified requests in coordination with that School. 9. Cookies and Similar Technologies

The Luminari platform uses cookies and similar technologies that are necessary to keep users signed in and to operate the Service. We do not use cookies to serve third-party advertising. Where we use any analytics to understand and improve how the Service is used, we do so in a privacy-protective way. For more detail, see our Cookie Policy.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last Updated” date above and, where appropriate, notify account holders by email. Continued use of the Luminari platform after changes take effect constitutes acceptance of the revised policy.
